Use It Before You Lose It: Putting Your Remaining Capital Budget to Work Before December 31
Every year around this time, the same conversation happens in plant offices and facility departments across the country. There is money left in the capital budget. The calendar says it has to be committed by December 31. And the project list that looked so clear back in January is now buried under a year of emergency repairs and shifting priorities.
If that sounds familiar, you are not alone. And the good news is that the window is still open, as long as you move now.
Why Waiting Until December Costs You
Budget that goes unspent rarely comes back. In a lot of organizations, an underspent capital line can also shrink next year’s allocation, because the numbers suggest you did not need it.
The problem is that the last few weeks of the year are the worst time to start a purchase. Holidays slow down approvals. Manufacturers and freight carriers get busy. Purchasing departments set their own internal cutoffs well ahead of December 31. A request that starts in mid December often does not make it.
Starting in late October or early November gives you time to get a real quote, get it approved, and get a purchase order issued before the deadline.
Where Remaining Capital Budget Does the Most Good
Not sure where to put it? These are the projects we see pay off year after year.
Replace the chronic bad actor. Every facility has that one pump. The one that eats seals, trips on overload, or needs a technician every few weeks. Replacing it with a properly selected unit is one of the fastest ways to cut maintenance cost next year.
Upgrade motors. Older motors running critical equipment are a reliability risk and an energy cost. A premium efficiency WEG motor sized correctly for the load can lower power use and give you a dependable spare strategy at the same time.
Add or upgrade control panels. Variable frequency drives, HMIs, and SCADA ready panels give you better control, softer starts, and real data on how your system is running. For pumps that run against a throttled valve, a VFD can pay for itself in energy savings.
Build a custom skid. If you have a project that has been on the wish list for a while, a custom fabricated skid packages the pump, motor, piping, instrumentation, and controls into one tested unit. Skids reduce installation time on site and simplify the whole project.
Stock critical spares. Rotating assemblies, seals, wear parts, and spare motors for your most critical equipment turn a multi week outage into a same day fix. Check with your finance team on how they classify spares, but it is often one of the smartest uses of leftover budget.
What We Need to Turn a Quote Around Fast
The faster you can get us the details, the faster we can get you a number. When you reach out, have these handy:
- Application and what the equipment needs to do
- Flow and pressure, or the nameplate of the unit you are replacing
- Liquid being pumped, temperature, and any solids or viscosity concerns
- Available power and voltage
- Any existing footprint or piping you need to match
- Your internal deadline for a purchase order
Missing some of it? That is fine. Send us what you have and our team will fill in the gaps with you.
A Quick Tip on Timing
Ask your finance or purchasing team exactly what “committed by December 31” means for your organization. In many cases, an issued purchase order is what counts, not delivery. Knowing that up front can open up options for equipment with longer lead times.
